Auction Board positions

Auction Director

Eligibility: Any current student who will be enrolled for the 2018-19 academic year is eligible to apply. Previous PILP Auction experience is preferred, but not required. 

Duties: 

  1. Plans and organizes the PILP Auction. Responsibilities include, but are not limited to, the creation of packages to be auctioned off at the event, selecting a caterer, auctioneer, and any other professional hires that should be made.
  2. Creates and maintains an auction calendar that includes all of the tasks to be completed through the day of the auction, and communicates with those individuals pertinent to the accomplishment of those tasks to ensure timely completion of those tasks.
  3. Supervises members of the Auction Board (who oversee committee chairs assigned to them) as well as the Auction Volunteer Coordinator (who oversees the volunteers). 
  4. Attends Executive Board’s bi-weekly meetings to provide regular updates about the status of the auction and communicates the assistance that the Executive Board can provide the Auction Board.
  5. Communicates with the Director of Public Interest Law to keep them apprised of the status of the auction.
  6. Works with the Treasurer to create a budget for the auction and subsequently ensures that the Auction Board adheres to that budget.
Procurement Coordinator

Eligibility: Any current student who will be enrolled for the 2018-19 academic year is eligible to apply.

Duties:

  1. Works with the Auction Board to determine a fundraising goal, and subsequently creates a plan to meet that financial goal.
  2. Determines a long term plan of donor solicitation based on the financial goal for the event, as well as a review of what has been particularly profitable at prior auctions. The procurement plan should include, but is not limited to, how and when donation requests will be made—whether that be via sending letters, emails, making phone calls, or in person contact.
  3. Works with the volunteer coordinator to plan and schedule times for volunteers to solicit donations from businesses and individuals throughout the country, but particularly in Oregon.
  4. Adds to the list of people and businesses to solicit in order to create desirable, cohesive silent and live auction packages. 
  5. Performs duties as specified by the Executive Board related to Auction. 
Marketing & Event Coordinator

Eligibility: Any current student who will be enrolled for the 2018-19 academic year is eligible to apply.

Duties:

  1. Works cooperatively with Auction Director and in the PILP Marketing Director to ensure that the auction is publicized effectively.
  2. Responsible for coordinating a cohesive marketing scheme for the auction in conjunction with the auction theme.
  3. Organizes decorations, invitations, and posters for auction. 
  4. Responsible for updating PILP Auction social media pages. 
Database Coordinator

Eligibility: Any current student who will be enrolled for the 2018-19 academic year is eligible to apply.

Duties:

  1. Creates and implements a system to organize the entry of donations into the Greater Giving auction software at least once a week.  
  2. Prints and sends thank you envelopes and letters to be sent out to donors within one week of receiving and entering a donation into the event software.
  3. Ensures that all donor forms are photocopied and delivered to the Development Office in a timely manner.
  4. This person must be detail-oriented and have the ability to create and monitor a complex database of donations and donors.
Volunteer Coordinator

Eligibility: Any current student who will be enrolled for the 2018-19 academic year is eligible to apply.

Duties:

  1. Acts as the single point of contact for students seeking the volunteer hours required for a PILP Award. 
  2. Works with the Auction Board to organize and maintain a schedule of volunteer opportunities before, during, and after the auction; facilitates necessary volunteer trainings; and communicates volunteer opportunities as they arise.
  3. Provides ongoing support and guidance to volunteers. 
  4. Ensures that all students that are provocatively seeking PILP hours have sufficient opportunities to fulfill the PILP Award volunteer requirements. 
Outreach Coordinator

Eligibility: Any current student who will be enrolled for the 2018-19 academic year is eligible to apply.

Duties:

  1. Responsible for calling past PILP Award recipients in order to garner support from invested alumni either personally, or by working with the Volunteer Coordinator to organize phone banks.
  2. Works cooperatively with the Auction Marketing & Event Coordinator and the Director of Public Interest Law to create and maintain a plan for connecting with alumni, local law firms, students, professors, and local lawyers. Outreach should be specifically tailored to the characteristics of the group being contacted.
  3. Ensures that outreach is being completed in an organized, efficient, and timely manner.
